Club Roles and Permissions
Every person connected to your club on SquadTracker has a club role — Owner, Admin, Manager, Member or Viewer — and that role decides which pages of the Club Platform they can open. Getting it right means your coaches, committee members and helpers see exactly what they need, and nothing they shouldn't.
Club roles are set from Club Management and can be changed at any time. They're completely separate from the Head Coach and Assistant Coach roles a person might also hold on an individual team — more on that below.
What you'll learn
- What each of the five club roles can open
- How to change someone's club role
- Why only the owner can change another member's role
- What happens if you try to remove or demote the only owner
- How club roles differ from a person's Head Coach or Assistant Coach role on a team
Quick Steps
- Open Club Management — From the club sidebar, tap Club Management, then the Members tab.
- Find the person — Search by name or email, or filter the list by role.
- Open the role dropdown — Next to their name, choose a new role: Owner, Admin, Manager, Member or Viewer.
- Confirm the change — A dialog warns that this changes their permissions and access to club features — press Confirm to apply it straight away.
- Check it landed — Their badge in the Members list updates immediately, and they'll see the new set of pages next time they open the club.
Only the club owner can actually carry out step 3 — see Who can edit, and who can only view below.
The five club roles
Here's what each role can open, using the names on your club sidebar.
- Viewer can open: Club Dashboard, Teams, Coaches, Results
- Member can open: Club Dashboard, Teams, Coaches, Calendar, Facilities, Results, Statistics
- Manager can open: Club Dashboard, Teams, Coaches, Calendar, Facilities, Results, Statistics, Fixtures
- Admin can open: Club Dashboard, Teams, Coaches, Calendar, Facilities, Results, Statistics, Fixtures, Club Management, Payments, Season Hub, Billing, Referees
- Owner can open the same pages as Admin, and is the only role that can change another member's role or manage the Coach Access Code
Referees only appears once your club has switched on referee management — see Referee Management.
Who can edit, and who can only view
Being able to open a page isn't the same as being able to change things on it. Day-to-day editing — adding or removing coaches, adding or editing facilities, regenerating the Club Code, archiving a team, removing a club member — is reserved for Owner and Admin. A Manager, Member or Viewer can see the same pages' data, where their role allows it, but won't see the add, edit or remove buttons.
Only the Owner can change another member's role. If an Admin tries, SquadTracker blocks the change — ask the owner to make it instead.
Owners, and why there must always be one
There's no separate "transfer ownership" button. To hand ownership to someone else, the current owner promotes them to Owner using the role dropdown, then — if they want to step back — changes their own role down from Owner afterwards.
SquadTracker always keeps at least one owner. You can't remove the only owner from the club, and an owner can't demote themselves if they're the last one — promote someone else to Owner first, then make your change.
Club roles vs team roles
Your club role controls which club-wide pages you can open. It's separate from the roles a person holds on an individual team — Head Coach and Assistant Coach — which control what they can do within that one team, like editing lineups or training plans. Someone can be a club Viewer and still be the Head Coach of their own team; the two systems don't affect each other.
