Recording Consent Given in Person
How to mark consent as given when a parent agrees at training rather than online, and how to withdraw it later
Recording Consent Given in Person
Not every parent will use the online consent link — plenty will just tell you at training, or sign a paper form on the touchline. SquadTracker lets you record that decision yourself instead of waiting for the online form.
What you'll learn
- How to mark a new request as already given when you send it
- How to approve consent for a player who's already Pending
- What SquadTracker actually records when you do this
- Why you should still keep the signed paper form yourself
- How to withdraw consent later, and who's allowed to do any of this
Quick Steps
- Go to Team Management → Players — Press Manage Player Consent.
- Select the players — Tick everyone the parent has verbally agreed for.
- Tick "Consent already given (in person)" — This appears once you've selected at least one player.
- Press Mark as Approved — The button label changes once the tick is on; the players move straight to Approved.
- For players already Pending, use the section below instead — Tick them under Mark Consent as Given (In Person) and press Mark consent given for [N] players.
Sending a fresh request with consent already given
If you haven't requested consent for a player yet but already have a verbal or written yes, select them in Manage Player Consent as normal, then tick Consent already given (in person) before sending. They skip Pending entirely and go straight to Approved — no link needs to be sent or opened.
Approving a player who's already Pending
If you already sent a request and the parent has since told you yes in person, scroll to Mark Consent as Given (In Person) in the same dialog. This section only lists players currently Pending. Tick who you've had a yes from and press Mark consent given for [N] players.
What gets recorded
SquadTracker records your name (from your coach account) as the person who gave consent, and the date and time you marked it. It doesn't store an image of a signed form or a recording of what was said — just who confirmed it and when.
Because of that, keep any signed paper form yourself (in a folder, a filing cabinet, wherever your club keeps records) for as long as your club's policy requires. SquadTracker is your record that consent was given and by whom — not a replacement for the paper trail.
Withdrawing consent later
If a parent changes their mind, go to Team Management → Players → Manage Player Consent and scroll to Withdraw Consent, which lists every currently Approved player. Tick the player and press Withdraw consent for N] players. This sets them straight to Declined — not back to Pending — so from then on only their initials are shown, in the lineup planner as well as everywhere else. See [Player Consent Explained for exactly what Declined changes.
Who can do this
Marking consent as given in person, and withdrawing it, is restricted to the head coach or an assistant coach on the team — the same roles that can request consent in the first place.
