The two ways to request name consent, what the family sees, and how to track and resend requests

Collecting Consent from Parents and Players

Once a player is marked as needing consent, you need to get a parent — or the player themselves, if they're 16 or over — to respond. SquadTracker gives you two routes to do this: one player at a time from their card, or in bulk for several players at once.

Quick Steps

  1. Open the player's card — On the Players page, tap the clock icon or the Pending Consent — Tap to Share Link banner on a player awaiting consent.
  2. Choose email or link — Enter the parent's email and press send, or use Share Link / Copy Link to send it yourself via WhatsApp or any other app.
  3. The family opens the link — They choose Parent/Guardian or Player (Age 16+), enter their own name and the player's first and last name exactly as you registered it.
  4. They approve or decline — The player's status updates straight away; you don't need to do anything further.
  5. Check back later — Reopen the player's card, or Team Management → Players, to see if they've responded.

Requesting consent for several players at once

Go to Team Management → Players and press Manage Player Consent (the same dialog is also reachable from the Manage link on the Players page banner for players added before consent tracking existed). Choose who's consenting — Parent/Guardian or Player (Self) — tick the players you want to request consent for, then press Send Consent Request. You'll be shown a single link to share with every family you've selected; copy it or use Share Consent Link to send it via WhatsApp or any other app on your phone.

If you already have verbal or paper consent from a parent, tick Consent already given (in person) before sending instead — see Recording Consent Given in Person for what that does.

What the family sees

The consent form asks "I am providing consent as" — Parent/Guardian or Player (Age 16+) — then asks for their own name and the player's first and last name. It explains exactly what's being stored: first and last name, team and position, match participation, performance stats and training attendance.

The name they enter must match what you registered closely enough for SquadTracker to find the right player. If it doesn't match, they'll see Name Not Found and a message asking them to check the spelling or contact you directly — so it's worth telling families to use the same spelling you used when you added the player.

Checking who's still pending

Team Management → Players → Manage Player Consent shows a running count of Approved, Pending and Not Set players at the top of the Name Consent Management card, and lists the players still awaiting a response. On the Players page itself, any player still waiting shows a small clock icon on their card.

Resending a request

There's no separate "resend" button — a consent link doesn't expire, so you can simply send it again. Reopen the player's card and either email the same parent again or copy/share the link a second time.

Keeping the form safe from abuse

The public consent form limits how many submissions it will accept from the same network in a short period, and the club-wide version also uses reCAPTCHA — so if a family sees a "too many requests" message, ask them to wait a few minutes and try again.

Who can do this

Requesting, checking and managing consent is available to coaches on your team. Bulk actions — requesting, approving or withdrawing consent for several players at once — need the head coach or an assistant coach role; a platform or billing-only role can't do this.
