How Payment Collection Works

Understanding the club payment system and transaction fees

How Payment Collection Works

SquadTracker's payment system lets your club collect subscriptions from parents securely through Stripe. Here's everything you need to know.

Overview

  • Platform: Powered by Stripe Connect

  • Cost: 2.5% platform fee on payments collected

  • Subscription Fees: None - the platform is free to use

  • Payout: Direct to your club's bank account
  • Setting Up Payments

    Step 1: Connect Stripe

  • Go to Payments in your club dashboard

  • Click Connect Stripe

  • Complete the Stripe onboarding process

  • This includes verifying your identity and bank details
  • Step 2: Add Parents

  • Go to Parents tab

  • Click Add Parent

  • Enter their name and email

  • Link them to their child (player)
  • Step 3: Create Payment Requests

    You can create:

    One-Off Payments

  • For kit, tours, tournaments, etc.

  • Set the amount and due date

  • Parent receives an invoice via email
  • Recurring Subscriptions

  • Monthly or termly billing

  • Automatic collection

  • Parents set up card payment once
  • Transaction Fees

    We charge a 2.5% platform fee on successful payments.

    Example:

  • You collect £100 from a parent

  • Platform fee: £2.50

  • You receive: £97.50
  • Stripe also charges their standard processing fees (approximately 1.4% + 20p for UK cards).

    Payment Statuses

  • Pending - Invoice sent, awaiting payment

  • Paid - Payment received

  • Overdue - Past due date, not paid

  • Cancelled - Invoice cancelled

  • Refunded - Payment refunded
  • Automatic Reminders

    The system can send automatic reminder emails to parents with overdue payments. Go to the payment request and click Send Reminder.

    Viewing Reports

    Go to Payments* > *Reports to see:

  • Total collected

  • Outstanding amounts

  • Payment history

  • Export to CSV
  • Refunds

    To refund a payment:

  • Find the payment in your dashboard

  • Click Refund

  • Confirm the refund
  • Refunds are processed through Stripe and returned to the parent's card.

    Security

  • All payments are processed securely by Stripe

  • We never store card details

  • Stripe is PCI-DSS compliant

  • Parents can manage their payment methods directly
