These Terms of Use ("Terms") govern your access to and use of the SquadTracker web and mobile applications (iOS/Android via Capacitor) and related services (collectively, the "Service"). The Service is provided by 4JQ Limited ("4JQ Limited", "we", "us", "our"). By creating an account, accessing, or using the Service, you agree to be bound by these Terms and our Privacy Policy. If you do not agree, do not use the Service.
If you are using the Service on behalf of an organisation (e.g., a club), you represent that you have authority to bind that organisation, and "you" includes that organisation.

2. Eligibility
- You must be at least 16 years old to create an account. If you are under 16, you may only use the Service through a coach/team administrator who has appropriate authority and, where required, parental/guardian consent.
- You must have the authority to submit personal data of any players you add, especially minors.
3. Accounts and Security
- Account creation: You must provide accurate, current information and keep it updated.
- Credentials: Keep your login credentials confidential. You are responsible for all activity under your account.
- Notification: Notify us immediately of any unauthorised access or security breach at support@squadtracker.co.uk.
4. Acceptable Use
You agree not to:
- Use the Service in any unlawful way or in breach of any applicable laws, rules, or regulations (including safeguarding laws for minors).
- Upload, post, or transmit content that is illegal, harmful, defamatory, harassing, hateful, obscene, or infringes others' rights.
- Input special category data (e.g., health, biometric data) unless strictly necessary and authorised; SquadTracker is not designed to process such data.
- Interfere with or disrupt the Service, including by introducing malware, scraping, reverse engineering, or bypassing security measures.
- Misuse reporting, awards, or statistics features to bully or harass players.
- Use the Service to send unsolicited or unauthorised communications.
We may suspend or terminate accounts that violate these Terms.
5. Team and Player Data; Roles
- Role-based access: Head Coach, Assistant Coach, and Admin roles control visibility and editing permissions for team data.
- Responsibility for data: Coaches/admins are responsible for ensuring they have a lawful basis to add players' personal data (including minors) and must provide appropriate notices to players/parents as required by law.
- Transparency: You must inform players/parents about the nature and purpose of tracking (attendance, minutes, goals, assists, cards, awards).
6. Club Management Platform
The Club Management Platform allows football clubs to manage multiple teams, collect payments from parents, and coordinate club-wide operations.
Club Platform Pricing:
- Platform access: The Club Management Platform is free to use. There are no subscription fees for clubs.
- Transaction fees: We charge a 2.5% platform fee on payments successfully collected from parents through our payment system. This fee is deducted automatically before funds are transferred to your connected Stripe account.
- Stripe fees: Standard Stripe processing fees apply in addition to our platform fee. These are set by Stripe and may vary.
Payment Collection (Stripe Connect):
- Clubs can collect payments from parents using Stripe Connect. You must complete Stripe's onboarding process and agree to Stripe's Connected Account Agreement.
- You are the merchant of record for payments collected. SquadTracker facilitates the payment but does not act as a party to the transaction between you and the parent.
- You are responsible for any refunds, disputes, or chargebacks related to payments you collect.
- Funds are transferred to your connected Stripe account according to Stripe's payout schedule, minus applicable fees.
Parent Contacts and Communications:
- You may add parent contact information (name, email, phone number) linked to players in your club.
- You are responsible for ensuring you have appropriate consent or lawful basis to store and use parent contact data.
- Payment requests and invoices will be sent to parents via email on your behalf.
- You must not use parent contact data for purposes unrelated to club management and payment collection.
Coach Access Codes:
- Clubs can generate access codes that allow coaches to use the SquadTracker app for free when linked to the club.
- Coaches using a club access code receive full app access without requiring a personal subscription.
- Clubs are responsible for managing and revoking access codes as appropriate.
Facilities and Scheduling:
- Clubs can manage facilities (pitches, training grounds) and coordinate schedules across teams.
- Facility bookings and schedules are visible to coaches within your club.
Club Administrator Responsibilities:
- Club administrators are responsible for the accuracy of club information, parent contacts, and payment requests.
- You must comply with all applicable laws regarding payment collection, data protection, and communications with parents.
- You are responsible for resolving any disputes with parents regarding payments or services.
7. Privacy
Your use of the Service is subject to our Privacy Policy, which explains how we collect, use, and protect personal data under UK GDPR and the Data Protection Act 2018. The Privacy Policy governs matters relating to personal data.
8. Subscriptions, Billing, Cancellations, and Refunds
Subscription Plans:
- Single Team: £2.49/month or £24.99/year — Manage 1 team with unlimited players
- Multiple Teams: £4.49/month or £44.99/year — Manage up to 5 teams with unlimited players
Free Trial:
- All new subscriptions include a 30-day free trial.
- Payment information is required to start the trial, but you will not be charged during the trial period.
- Cancel anytime before the trial ends to avoid being charged.
- If not cancelled, the subscription will automatically convert to the selected paid plan at the end of the trial.
Billing and Renewal:
- Billing platforms: We use Stripe for web payments and Adapty to synchronise subscriptions across iOS, Android, and web platforms. Platform stores (Apple App Store, Google Play) may process mobile purchases.
- Automatic renewal: Subscriptions automatically renew at the end of each billing period unless cancelled prior to renewal.
- Payment methods: Card or other payment methods supported by Stripe or the relevant app store are accepted. By providing payment details you authorize us or our payment processors to charge the applicable fees plus any taxes.
- Invoices and receipts: Receipts are provided by the platform that processed the payment (Stripe, Apple, or Google). For web purchases, you can view billing history in your SquadTracker account settings or the Stripe billing portal where available.
Cancellation:
- Cancel anytime: You may cancel at any time to prevent future renewals. Cancellation takes effect at the end of the current billing period or trial.
- Access to paid features continues until the end of your paid billing period (or until trial expiry if cancelled during trial).
- No partial refunds or credits for unused time within a billing period except where required by law or by the app store's policies.
Refund Policy:
- 7-day refund window: After your free trial ends and you are charged, you may request a full refund within 7 days of the charge for both monthly and yearly plans.
- Refund requests submitted after 7 days from the charge date will generally be declined, except where required by applicable law or at our sole discretion.
- To request a refund for web purchases, contact support@squadtracker.co.uk. For purchases made via Apple or Google, refund processing is subject to the App Store or Google Play refund procedures and policies; please contact the respective store for refunds of purchases processed by them.
How to Cancel:
- iOS: Manage or cancel subscriptions via your Apple ID subscription settings. Refunds for App Store purchases are handled by Apple.
- Android: Manage or cancel subscriptions via your Google Play subscription settings. Refunds for Google Play purchases are handled by Google.
- Web: Manage or cancel subscriptions via your SquadTracker account settings or the Stripe billing portal (if linked). For assistance, email support@squadtracker.co.uk.
Additional Terms:
- Proration: We do not ordinarily prorate charges or provide credits for partial billing periods, except where required by law or by the applicable app store policy.
- Price changes: We may change subscription prices or features. We will provide reasonable advance notice for price increases affecting recurring fees; changes take effect on your next renewal. If you do not agree with a change, cancel before the next renewal.
- Taxes: Subscription fees are exclusive of taxes. Applicable taxes will be added as required by law and calculated based on your billing address or the platform's policies.
- Failed payments: If a payment fails, we may notify you and suspend or downgrade access until payment is made. You remain responsible for any outstanding amounts.
- Disputes: If you believe a charge is incorrect, contact support promptly at support@squadtracker.co.uk so we can investigate.
9. Content and Licence
Your Content: You retain ownership of content you submit (e.g., team info, player names, stats). You grant us a non-exclusive, worldwide, royalty-free licence to host, store, reproduce, process, and display Your Content solely to operate, maintain, and improve the Service and as otherwise permitted by these Terms and the Privacy Policy.
Our Content: The Service, including software, user interfaces, design, features, and documentation, is owned by 4JQ Limited and its licensors and is protected by intellectual property laws. We grant you a limited, revocable, non-exclusive, non-transferable licence to use the Service for your internal team management purposes during your active subscription or authorised access.
10. Feedback
If you provide feedback or suggestions, you grant us a royalty-free, worldwide, transferable, sublicensable, irrevocable licence to use and incorporate it without obligation to you.
11. Third-Party Services
The Service may integrate with or link to third-party services (e.g., app stores, payment processors, email delivery, authentication, hosting). Those services are governed by their own terms and privacy policies. We are not responsible for third-party services.
12. Service Availability and Changes
- Availability: We strive to provide reliable access but do not guarantee uninterrupted or error-free operation.
- Changes: We may modify, suspend, or discontinue features or the Service with reasonable notice where practicable. If a change materially reduces core functionality you have paid for, you may be entitled to a pro‑rated remedy where required by law.
13. Termination
- By you: You can stop using the Service at any time and may delete your account using in-app controls.
- By us: We may suspend or terminate your access if you breach these Terms, pose a security or legal risk, or for non-payment. We will provide notice where reasonable.
- Effect: Upon termination, your right to use the Service ends. We may retain and/or delete data as described in the Privacy Policy and our retention schedule.
14. Safeguarding and Conduct with Minors
If you manage teams with minors:
- Obtain necessary consents and comply with safeguarding duties and applicable FA/league rules.
- Do not post or share sensitive personal data.
- Use awards and statistics responsibly; do not use features to shame or harass.
15. App Store and Play Store Terms
iOS (Apple App Store):
If you download the app from the Apple App Store, you acknowledge that Apple has no obligation to provide maintenance or support. Apple is not responsible for the app or any claims related to it. These Terms are between you and 4JQ Limited, not Apple.
Android (Google Play):
If you download the app from Google Play, you agree to Google Play's Terms of Service. Google is not responsible for the app or any claims related to it. These Terms are between you and 4JQ Limited, not Google.
Platform-Specific Refunds:
Refunds for purchases made through Apple App Store or Google Play are subject to their respective refund policies. Contact Apple or Google directly for app store purchase refunds.
16. Disclaimers
- The Service is provided "as is" and "as available." To the fullest extent permitted by law, we disclaim all warranties, express or implied, including merchantability, fitness for a particular purpose, and non-infringement.
- We do not warrant that the Service will meet your requirements, be accurate, free of errors, secure, or available at all times.
17. Limitation of Liability
To the fullest extent permitted by law:
- 4JQ Limited will not be liable for indirect, incidental, special, consequential, or punitive damages, or for loss of profits, revenues, data, goodwill, or business interruption.
- Our total liability for any claim arising out of or relating to the Service or these Terms will not exceed the greater of: (a) the amounts you paid to us for the Service in the 12 months before the event giving rise to liability, or (b) £100.
- Nothing in these Terms limits liability for death or personal injury caused by negligence, fraud, fraudulent misrepresentation, or any other liability that cannot be excluded under law.
18. Indemnity
You agree to defend, indemnify, and hold harmless 4JQ Limited, its directors, employees, and agents from and against claims, losses, damages, liabilities, costs, and expenses (including reasonable legal fees) arising from: (a) your use of the Service; (b) Your Content; (c) your breach of these Terms; or (d) your violation of applicable laws or third-party rights.
19. Intellectual Property Infringement
If you believe content on the Service infringes your IP rights, contact us at support@squadtracker.co.uk with details of the alleged infringement. We may remove or disable access to alleged infringing material and terminate repeat infringers where appropriate.
20. Updates to These Terms
We may update these Terms from time to time. We will provide notice of material changes (e.g., via email or in-app). Changes take effect when posted or on the stated effective date. Your continued use after changes constitutes acceptance.
21. Governing Law and Jurisdiction
These Terms and any dispute or claim arising out of or in connection with them are governed by the laws of England and Wales. The courts of England and Wales shall have exclusive jurisdiction, except that you and we may seek injunctive or equitable relief in any jurisdiction.
22. Communications
By using the Service, you agree that we may send you transactional communications (e.g., service notices, security alerts). For promotional emails, you can unsubscribe at any time.
